En: Security on Private event’s
The option of having security on private event’s, is held by the organizer of the event. The criteria on what security company\agency will handle, maintain and secure the area of the event is more than just company background and name.
The organizer of the event should pay attention of some detail’s reguarding the chosen security team in the right proportionality with the guests social, political ,or show biz position.
I was having a discussion with one of my close friend –a administrator of a well know castle from France on this particular subject. He ,as a administrator, was claiming that if is not necessary more than 4 or 6 security personel on the event ,2 of them on the main entrance, than you don’t need to establish a large number of security guy’s inside and outside the area of the event - a point of view of a administrator with the economic balance, financial mathematic calculation in his mind…From my point of view he is right on one particular point –financial-reduce the extra cost’s, but let’s discuss first about why the security is needed in a private event? Some of the organizer’s, administrator’s ,like my friend they will say that is no needed, and when it is, have the minimal number of security guys,in the end it is a private event where the guest’s are already known, into a private area so it is no need for a strong security. My answer for the question is not simple ,I will take step by step to make my self understandable.
Obviously is not a high risk mission ,not a conflict area or crowd control so the experience of the security team doesn’t have to by specifically a MMA ,ex Military attributes requested to some other mission, but still what is requested from the security team. - Confidentiality ,diplomacy ,and team connection (connection not by radio channel, by working together as a team for some period of time) this may be the top request’s.
Coming back to our question here is my answer:
Why a VIP guest agree to come to a private event? Beside the other reason’s one of them is because it is private in the first place ,what it means that he\she can enjoy the spending time without having the paparazzi or fan’s always watching them. And how a administrator of the event can ensure the guest’s safety feeling? – Not by 2 security guy’s on the main entrance and other 2 inside for a event with 1-200 guest’s.
From another angle, when a VIP guest, or a couple step inside the building of the event (own experience) if is not him is she for sure the one, that they ,,surveillance’’ the hole ambient to see the architecture ,colors, friend’s and so on in a few second’s…when in this picture the VIP see’s, not one, but 3 or 4 security guy’s –the safety feeling that I was talking about it is implemented in his mind .The VIP guest will not by inhibited by the security presence ,by the contrary he already know and expected that everything what he will say\do will stay inside the ,,private’’ area ,not by trusting the security team because they(VIP guest) had been in a lot of private events and they know why and for what the security team is requested ,but by trusting the administrator\organizer, for the full service of a private event in a professional way…And the presence of security team inside outside the event location , from a marketing point of view, raise the quality ,the professionalism and the trust in the ,,private event scale and service’’…This is my answer for the administrators and organizer of such event’s. Always maintain the security level on a high level(for a VIP guest’s and not only)because if a bad situation like a news article with some unwanted photos of the event ,some bad feedback or information from inside the event in the next day article, can and will ruin the location prestige, your prestige as an organizer and I don’t have to show some example’s because they are a lot of them-High rated location for private event’s falling in to disgrace after a upper bad scenario.
From security point of view for a private event – we find a huge number of future problem’s-not just paparazzi and mass media infiltrated as guest’s .The security team must be aware of the event scale and the VIP’s guest’s name (name=political ,social, show biz, directors board position) and have a list of potentially threat not to one VIP ,to all of them.
Stalker’s – common presence into private event ,can put the main entrance team in some difficulties. Once in a private event, my team reject one person for getting inside the private area and after a few hours we chough him jumping over the wall into the private property of event location . He was well known as a stalker(with legal restriction) of one VIP guest’s of the event.
Threat’s –not at the ordinary situation on the event menu ,but prepare for the unprepared ,it can be a bomb threat for example (as we had once ,torn out as a bad joke from one of the guest) and that can install panic and hysteria if the Team Head can’t keep the calm and take a decision .
Personnel that works in to the location ,building of the event –is indicated for a security team to request the list of the personnel that will be working during the event-not by control them-but to familiarized with them and so the team can discover a new face in the personnel. Any distrust can be a threat and had to be handle with diplomacy, as it is.
The outside side area of the location(if it has) – must be surveillance and already known territory to prevent any unwanted surprise.
The program of the event – have a plan in the same way of the program , avoid as much as possible confusing moment’s and have prepared a plan B and C for every changing in the event program. Guest’s may fluctuate from one side to another
The relation between organizer and head security team must be fulfilled up to the small detail ,problem’s and it has to be done in a professional way from both sides ,this connection is the key for a good event.
For every private event is must have a main entrance proper security to assure that the event stay private and not public, since the entrance is made in base of guest list, and to keep away the mass media and unwanted presence.
The head of security team must be in the middle of event ,or positioning himself in to a location where his visibility is high and always keep radio connection with the team. As for the security team ,respect the positioning for a good rage visibility (as main 50 degree and secondary as 120 degrees).The team members are set inside the location as much as possible to achieve the full visibility over the guest ,that’s why keep your position as it is set. During the program changing(that is why the head of the security team must know the program of the event)do not avoid from the main plan, or positioning-very important .The visibility is a huge advantage for the team.
If the organizer or security team colleague has a particular problem and request the help ,the head of the team is the one that goes where the problem is not a member of the team. During the missing period of the team Head ,all the members increase the attention and keep the radio channel connection open ,even if inside the location of the event they are not problem’s ,inform the Head about it, so he will know that they are not problem’s during the missing time.
And last some private events have they own private areas –if the presence is requested even there ,one security member of the tem will stay there and only there without interferes into the main event.
So the bottom conclusion once you take the responsibility of a private event security you are in charge not just for the guest’s privacy but also for the integrity of the location where the event is hold.
